We are looking for an experienced Patent Administrator to join our in-house IP department and support the growing team of Patent Attorneys

Key Responsibilities

  • Process incoming post to ensure that all data is recorded timeously, including relevant deadlines
  • Generate and forward documentation to external agents, obtaining signatures from various parties, internally and externally
  • Electronic filing of correspondence
  • Monitor due-date/reminder lists and follow up as required, working with attorneys when necessary
  • Liaise with external parties to resolve queries or obtain instructions
  • Access external information sources to check and retrieve relevant information such as patent specifications, conference posters, prior art and journal articles
  • Work in compliance with the company’s quality management systems and policies
  • Case Administration - record events and process documentation, sending out appropriate reminders and ensuring case record information is up to date and accurate
  • Filing - prepare and officially file applications, instructing US and European attorneys
  • Post Filing - obtain and submit all documentation required to progress a filed application
  • Information Disclosure Statement (IDS) - gather and collate prior art documents and forward to patent offices or foreign associates

Key Requirements

  • The ideal candidate should be CIPA qualified although those with extensive IP administration or IP secretarial experience will be considered 
  • Experience of managing IP portfolios, use of a data management system, liaising with attorneys, preparing various patent documentation and online filings 
  • Excellent IT skills – ability to use standard office packages including MS Office and Outlook
  • Previous experience of Espacenet, IPSUM, US PAIR, EPOline, LexisNexis would be advantageous
  • Highly organised, good attention to detail
  • Strong written and verbal communication skills
  • Ability to work on own initiative as well as in a team environment
